Hashers and Harriets, these guidelines are to help answer any questions about hash cash policies.

Money collected at the beginning of each hash belongs to everyone in the group and is used to provide beverages and snacks during the circle. Hash Cash runs a small balance used to pay for any expense outside of the normal hash, unanticipated costs, or anything that Mismanagement collectively agrees is appropriate and will be enjoyed by the pack. Any variations from these guidelines needs to be approved at a Mismanagement meeting or by special arrangement with the hash cash as these funds belong to the entire group. Often times, mismanagement will use part of the balance to provide funding to a theme hash, extra events, or whatever is decided at the time.
Prices are non-negotiable - whether you drink or eat anything or not.
Receipts are required to be reimbursed for any hash expenditure. The hash cash cannot pay you if there is no documentation on what was spent. This is for the benefit of the group and also for documenting purposes in case of questions later on about a reimbursed expense.
Beer – the Beermeister brings beer, cups, and trash bags to the hash each week for the pack. Bring your receipts and the hash cash will pay you at the hash that week. If you need an advance, make arrangements directly with the hash cash. Beverages include beer, water, soda and miscellaneous beverages as budget permits.
Snacks - The Snack Meister/ Munch Mistress provides chips, cookies, crackers and other types of munchies . Bring receipts to the hash for that week and present it to the hash cash. If you need an advance, make arrangements directly with the hash cash.
Beer Checks – beer checks are encouraged. If you plan on spending money for a beer check, make arrangements with the hash cash in order to make sure there is $ to reimburse you. The maximum amount hares can be reimbursed for beer checks at a regular hash is 40$.
Full moon hashes have a guideline of $4 per person for beer checks. This means, with receipts, hash cash will pay you up to $4 per person. Full moons include a bar check and these require a larger amount of cash than a cooler beer check. It’s a good idea to let the hash cash know approximately what you are going to spend, especially at a full moon bar check. Try to negotiate a discount off pitchers if possible since we are bringing that establishment extra business they normally wouldn’t have in most cases. Expenses for reimbursement are for beverages at a beer check. Other items such as props for a theme run are not normally reimbursed. If you have a special circumstance, attend the next Mismanagement meeting and Mismanagement will decide whether or not your request is in the best interest of the hash. If there isn’t sufficient time to attend a mismanagement meeting, contact the Hashmaster and Hash Cash directly and make arrangements.
Any left over beverages from a beer check for which the hares have been reimbursed should be given to the beermeister.
Park Permits
Hares are encouraged to get an official beer permit for down-downs or checks at parks. Check with Parks and Recreation (at the Randolph Zoo or online) whether you can get a permit for a park. Generally, parks north of the Rillito River do not allow alcohol and do not issue permits. Typically a park permit costs 35$.
Special Events including Hash De Tucson, Rocky Point and Red Dress Run
Events should be self-sustaining. Get estimates on costs of food, beer, entertainment, giveaways etc. and calculate a run fee that will cover your costs. If your event goes over budget, Mismanagement must approve whether or not to pay the extra amount.
Theme Hashes (PMS, Cinco De Mayo etc) - charging more than the standard run fee is discouraged but at times fun and a great idea. If you have a special theme, or reason why you need to charge more than $5, go to the MM meeting and present your idea. The pack at the meeting will decide whether or not they think they should spend the extra $.
